After the successful close of the first Try Before You Buy by Conventa event in Budapest, we talked to Ildikó Lippai, Sales Manager at Budapest Convention Bureau, who played a pivotal role in organising the event. Ildikó Lippai shared why the hospitality of locals in Budapest, paired with sustainable and eco-conscious suppliers, entices event organisers to host their events in the Queen of the Danube.

Q1: A while ago, you joined the team of the Budapest Convention Bureau. What are your short-term and long-term plans in your new position?

In the short term, my primary focus is bolstering our existing relationships with local stakeholders, event organisers and international partners. Collaboration with our partner professional organisations on the home front is essential to share a united vision for promoting Budapest as a premier destination for meetings and conventions. Simultaneously, we are amplifying our marketing efforts in MICE to reinforce Budapest’s reputation as a top-tier destination for business events and to actively explore and attract new international opportunities that align with our commitment to growth and expansion.

Q2: Can you tell us more about the role of the Budapest Convention Bureau and the services the organisation offers?

The Budapest Convention Bureau plays a crucial role in promoting Budapest as a leading destination for meetings, conventions, and events. Our organisation offers a wide range of services to event organisers, including destination consulting, venue selection assistance, bid support, and access to local expertise. We provide valuable information on accommodation options, transportation, and leisure activities to enhance the overall experience for attendees. Case by case, we are able to provide organisers with some support in various ways as well.

In addition to our traditional services, we are committed to sustainability initiatives. We work towards developing a sustainable strategy for our sector, focusing on environmentally friendly practices and social responsibility. That includes supporting event organisers in implementing sustainable event management practices, offering guidance on eco-friendly venues and transportation options, and promoting local suppliers who prioritise sustainability. Our aim is not only to provide exceptional event planning services but to do so in a way that is mindful of the environment and the local community.

Q3: How would you justify why every destination needs a convention bureau?

Every destination can benefit from a convention bureau because it serves as a bridge between event organisers and the local community. Locally, we contribute to the economic development of the destination by attracting business events that bring in visitors and generate revenue for local businesses. For the buyers, convention bureaus offer valuable insights, connections, and invaluable local knowledge about the destination to ensure the success of events. This knowledge encompasses insights into the best venues, accommodation options, and unique attractions fitting for the occasion.

Our commitment is to work closely with our partners to align efforts with objectives, ensuring a meaningful impact and a positive direction for the destination. We actively engage in efforts to advocate for policies and infrastructure developments that enhance the destination’s appeal for meetings and events. That includes working with local government bodies, businesses, and other stakeholders to create an environment conducive to hosting successful events.

Q4: What do you believe is the right path or strategy for Budapest’s success in the international market of the meetings industry?

The right path for Budapest’s success in the international meetings industry involves a multi-faceted strategy. First and foremost, our professionals are our greatest asset, and their solution-oriented attitude is what sets us apart.

Building on this foundation, our strategy should continue to emphasise their expertise and dedication. By showcasing the talent and knowledge within our destination, we establish trust and credibility in the eyes of event organisers worldwide. This approach creates a strong platform upon which we can then pursue other improvements.

Of course, modernising our infrastructure and facilities remains important to meet the evolving needs of event organisers. We should also focus on promoting Budapest’s unique selling points, such as its rich history, stunning architecture, and vibrant culture, to differentiate ourselves in the international market. Finally, let’s not forget sustainability, which is at the core of our strategy to align with global trends and meet the demands of eco-conscious event organisers.

Q5: How are meetings and events contributing to your city when it comes to legacy?

Meetings and events are instrumental in shaping Budapest’s legacy, leaving indelible marks on the city’s economic, cultural, and social landscape. Budapest has a well-earned reputation for its warm hospitality, which extends to our enthusiastic support for large-scale gatherings. Notably, events like the Athletic World Championships 2023 exemplify this spirit. These events bring together professionals, scholars, and enthusiasts from various fields, fostering knowledge exchange and innovation. They also generate revenue for local businesses, create job opportunities, and boost tourism, contributing to the city’s economic growth.

Q6: What is the added value of events such as Try Before You Buy by Conventa? What is their purpose?

Events like “Try Before You Buy” by Conventa offer substantial added value by providing event planners with an immersive experience that extends beyond merely acquainting them with the destination.

Primarily, attendees have the opportunity to become acquainted with Budapest, its venues, and its services in a hands-on and comprehensive manner. This in-depth understanding is crucial for event planners when making decisions about hosting their future events in the city.

Q7: We constantly talk about sustainability. How good are event organisers in going from words to actions?

Sustainability is a critical concern in the events industry, and it is important for event organisers to translate their words into actions. Many organisers and venues are making commendable efforts to reduce the environmental footprint of their events by adopting sustainable practices, such as minimising waste, using eco-friendly materials, and reducing energy consumption.

As the Budapest Convention Bureau, we encourage and support sustainable event organising by providing resources, guidance, and access to eco-conscious suppliers. We believe that actions taken to minimise the environmental impact of events are not only responsible but also contribute to the city’s reputation as a sustainable and forward-thinking destination.

Q8: Why do you believe sustainable event organising is important for the Budapest Convention Bureau and you personally?

I find it inspiring to be part of initiatives that promote sustainability, which is essential for the Budapest Convention Bureau and me personally for several reasons. Firstly, it aligns with our commitment to responsible tourism and ensures that Budapest remains an attractive and environmentally friendly event destination. Secondly, it reflects the growing demand for sustainability in the meetings industry, and we want to be at the forefront of this movement.

All in all, I envision not only promoting sustainability within the event-organising sector but also reinforcing Budapest’s reputation as a hub for forward-thinking and eco-conscious event professionals.

Q9: Let’s take a look in the future. There has been much talk about the impact of ChatGPT on event organising. How will artificial intelligence influence event organising?

AI is poised to have a significant influence on event organising. AI-powered technologies can streamline event planning processes, enhance attendee experiences, and provide valuable insights for organisers. For example, AI can assist with personalised event recommendations, chatbots for attendee support, data analytics for event optimisation, and even predictive modelling to anticipate logistical challenges.

In the future, AI may also play a role in automating certain event tasks, freeing up organisers to focus on strategic planning and creative aspects. However, I do believe the magic and charm of our industry lies in people and the human-added value. Thus, using AI responsibly and ethically has become essential, yet we need to focus on having it enhance the human element of events instead of replacing it entirely.

Q10: On a personal note, what would be your ideal event to host in Budapest?

At first, my background and heart brought me back to the world of high–end incentives. Budapest always amazes, and it gives you more than expected. I think of custom–made programs and tours around the various UNESCO World Heritage sites, combined with the modern, hidden and chic spots of the city while utilising the rich resources of the city. This, complemented by organising a gala event reminiscent of the turn of the century royal balls at the astonishing Hungarian State Opera House, is once a decisive experience for guests and planners, too.

However, while I am naturally inclined towards the incentive direction, on the other hand, I cannot help but feel a surge of excitement when I think about this year’s major EAN Neurologist Congress taking place in Budapest with over 6,000 delegates. Experiencing and being part of that massive and complex series of events truly electrified my commitment to our goals and duties and my passion for what we do daily with my dear colleagues.
