The upcoming congress will strongly contribute to the recognisability of Slovenia and at the same time, it is a great recognition to the Slovenian sports medicine profession.

The whole process of bidding was very complex. “Behind-the-scenes” look shows an important role of Slovenian Convention Bureau, which provided the whole support free of charge to Slovenian Institute for Medicine and Sport.

The bidding went through the following phases:

Phase 1: Analysis of bidding procedure

In the first phase, Slovenian Convention Bureau went through a research of key criteria and procedure of decision-making. It also gained the information from the PCO agency, who organized the previous congress.

Phase 2: Evaluation of project conduction
In the second phase two PCO’s, the certificated members of Slovenian Convention Bureau, were included in the process. They prepared financial evaluation of the project. Based on the positive financial estimation the process has officially begin.

Phase 3: The selection of PCO
Slovenian Convention Bureau carried a tender for an official PCO, who was chosen based on the decision of the Slovenian Institute of Medicine and Sport with the support of EFSMA Executive Board.

Phase 4: Strategic plan
Slovenian Convention Bureau collaborated in the phase of the competitive destinations analysis and provided the significant information from the background. Based on the listed information, the strategic plan of congress preparation was made.

Phase 5: Business network in the support of the bid
Based on the demand of the association, Slovenian Convention Bureau provided the complete professional support of their members. After the sudden change of the congress venue, Slovenian CVB promptly ensured the partner network at alternative location.

Phase 6: Preparation of the bid
The chosen PCO prepared a bid in cooperation with the Slovenian Institute of Medicine and Sport. The bid was presented at the World Congress of Sports Medicine in Ljubljana.

Phase 7: Marketing support for the bid
Preparation of promotional materials and cooperation at the bid presentation.

Phase 8: Analysis of the bid
Slovenian CVB prepares analysis of each bidding, which is also the foundation for the next successful bidding. Special attention is given to the competitive destination activities and the gained knowledge is implemented into the future biddings.  

For a successful bid, various factors do contribute: suitable destination, the trust of the professional association, the strategy of convention bureau, support of local members, great balance in between the cost and quality, attractiveness of the destination, etc. We believe that in this case a professional and systematic approach of the Slovenian Convention Bureau was also one of the key contributions.
