The Portuguese provider showcased its ability to manage complex logistics during the two-day event, which included competitions and social gatherings. After six months of thorough planning, Europalco deployed 130 professionals and 38 equipment trucks, flawlessly executing every aspect, from competition zones to gala dinners.
MEO Arena –the largest indoor venue in Portugal– entrusted Europalco to transform its space for a major event hosted by Belron. Europalco converted the arena into a multifunctional venue, accommodating competitors from over 30 countries. In a standout moment, Europalco precisely transformed 30 car competition stations into 1,300 dinner tables in just over two hours.
Europalco’s success in this large-scale transformation stemmed from advanced 3D design and careful planning. Led by David Nogueira, 3D designer and project manager at Europalco, the design team used cutting-edge software like Vectorworks for technical designs and Cinema 4D for rendering. These tools provided the client with detailed, realistic visualizations, effectively addressing any concerns about equipment, technology, and execution.
David further explained, “We went through five different versions of the design before settling on the final one. Each iteration required precise adjustments based on client feedback and logistical considerations, ensuring the final design was visually stunning, practical, and achievable within the venue’s constraints.”
Europalco’s technical team ensured seamless integration of the audiovisual elements by employing the powerful Christie Spyder X80 and X20 video processors to manage and switch between various video sources, providing smooth and flawless transitions. The team also used 8 x Christie Boxers 4K30, 12 x Christie HD20K, and 12 x 16K projectors to deliver vibrant, high-resolution projections across multiple event spaces.
Nineteen screens (18 in the plenary room and one in the Sala Tejo) were strategically placed throughout the venue, ensuring every attendee had clear, optimal visibility. These screens varied in size and characteristics, matching the specific needs of different zones within the event.
One of the standout technological innovations was variable-speed motors, which enabled the stage to rise after the opening ceremony, freeing up space for the competition. This logistical agility was crucial in maintaining the event’s dynamic nature.
Sustainability was another pillar of Europalco’s approach, with the team utilizing recyclable materials, FSC-certified wood, and energy-efficient LED lighting to reduce the event’s environmental footprint. “Our commitment to sustainability was central to our strategy,” said Rita Corredoura, Europalco’s systems management lead. Their eco-friendly practices extended to waste management and transport logistics, setting a high standard for environmentally conscious event production.
Energy efficiency played a critical role. The event’s heavy reliance on LED lighting helped reduce energy consumption without compromising quality. Waste management practices were also thoroughly planned, with all waste produced by Europalco’s team sent to licensed waste treatment entities.
To further minimize their environmental footprint, Europalco optimized the loading of vehicles and routes for transporting equipment, using custom baskets and standardized flight cases. This approach reduced transport emissions and streamlined logistics, ensuring that production remained as efficient as possible.
Behind this awe-inspiring event was a team effort that spanned several months of planning and two days of flawless execution. The seamless coordination between Europalco’s teams and MEO Arena’s staff was crucial for overcoming the logistical challenges of such a large-scale production. The installation alone took 15 days, with six dedicated to set up, two for rehearsals, two for the event, and another two days for dismantling.
Vitor Cravo, Europalco’s technical and project manager, emphasized the importance of collaboration: “The success of the Best of Belron 2024 event was a direct result of the teamwork between our departments and our longstanding relationship with MEO Arena. We worked closely with their team, making daily adjustments based on the client’s evolving needs.”
